Security During An Office Removal

Security During An Office Removal

19 August 2014

You will likely be very protective of your business’ information and data, and it’s not exactly like you are dishing the passwords for your computers out to everyone, so it is essential that you are able to protect everything that is sensitive whilst you are moving office, as it is going to be at its most vulnerable in this process. You will find as well that you need to be aware of who the removals company are hiring, and that everything is completely kosher before you proceed. Office security will be something that you have worked hard to maintain, and allowing it to slip during the removal will be a massive blow that is easily avoided. Have a look over the following ideas to see if you can put any of them in to action to improve your security.

Data encryption Is something that many people use when they are sending larger files of a sensitive nature, and given that your hardware will be being moved physically, it may be a good idea to get all of the data encrypted, or at least protected heavily against hacking, just for the one off time whilst your computers are in transit. It is unlikely, but if your information is of any value to your competition, then there may be people who are willing to try and make copies so that they can sell it on. You will find that simple security on an IT level will protect against this.

If you work on a paper system, then you need to simply ensure that the filing cabinets are effectively locked, and that you are always checking that there has been no attempts to open them. Filing cabinets will potentially need to be emptied for their removal, so ensure that you have a trusted member of staff overseeing where they go and how they are transported. You also need to ensure that they are able to reinstate the filing system effectively at the new office, so that there is no trouble with getting everything working again as quick as possible.

It is essential that you have a detailed inventory, and that you are able to get a good idea of where everything is at a moment’s notice. You will find that this deters anyone who might have thought it a good idea to run off with something, as they know that it will be noticed rather quickly, and the manhunt will be on. Do regular checks and counts, to ensure that you are completely aware of how much you have there and what is missing, to prevent anything getting lost or stolen.

Talk to the removals company about their hiring process. Some companies save cash by not having a permanent staff, and it is this that can be a trouble for you. If the staff are only working one job for that company, then they will be less traceable should something go missing, and they will also be a lot less loyal to the company. Whilst most individuals would be wanting to impress their new employer, some may see it as an opportunity to get away with a bit of grab and dash for a quick buck. If you have talked to the company and are happy that they are using a regular team, who are all traceable and honest people, then you should have no qualms about who you are letting in to your office. If not, then it is not really worth risking it, in all honesty!
